Its intent is to reduce duplication of formsand to minimize the creation of new forms.Besides standardizing and economizing form use, the Directives IssuanceSystem, SECNAVINST 5215.1, ensures the currency of local forms byrequiring periodic reviews. A command review procedure reduces formduplication and obsolescence. Procedures for preparing and maintaininglocal forms are specific. Before reproducing a local form, check to makesure the local coordinator, usually located in the administrative offices,approves the form for continued reproduction. The originators of thereproduction request are responsible for making sure local forms haveapproval, but not many do. The designation for approved local forms orinstructions is in the lower left-hand comer of the page.The Navy Correspondence Manual defines the standard format for internalmemos and memorandums and letters that will leave the command. Itdissects a letter explaining the purpose and impact of each section.Communicating intelligently in writing is a prerequisite to any successfulcareer.
